POSITION SUMMARY: 

The Executive Administrative Assistant will work closely with the Assistant to the President/Executive Office Manager in supporting the President & CEO and the Chief Operating Officer for a Bradenton healthcare company. 


This position will provide exceptional ability to execute in a fast-paced environment. The individual should possess the highest degree of integrity, supported by a flawless record of maintaining confidentiality. Adaptable to changing situations and flexible. Outstanding communication skills, workload prioritization, and teamwork are a must. 


This individual is multitask-oriented, skilled, and well-qualified. Very dependable, dedicated and committed, highly motivated, and well versed in MS Office and numerous office machines of support duties. 


REQUIREMENTS & PREFERENCES: 

• Graduation from an accredited two (2) year college with a major in secretarial science, business administration, or a related discipline 

• Requirements for education may be substituted for (2) years’ experience as an Administrative Assistant or in a related field 

• Must possess excellent skills in typing (50 wpm accurately), office management, public relations, and written and verbal communications 

• Must have a minimum of one (1) year of Secretarial or related Office Management experience preferably in a healthcare facility 

• Must maintain confidentiality 

• Must be proficient in the operation of a computer, calculator, copier, and other standard office equipment 

• Must have a strong working knowledge of Microsoft Word and Excel 


JOB ESSENTIAL DUTIES: 

• Maintains Executive's professional calendar in Microsoft Outlook and applies understanding of executive priorities in scheduling meetings 

• Arrange and coordinate meetings and events 

• Prepare and edit correspondence, communications, presentations, and other documents 

• File and retrieve documents and reference materials 

• Answer and manage incoming calls 

• Liaise with internal staff at all levels 

• Excellent complex organizational and high-level administrative skills 

• Handling incoming emails, faxes, and mail including drafting correspondence 

• Producing documents, briefing papers, reports, and formatting and proofing presentations 

• Liaising with patients and internal staff at all levels 

• Types dictation and administrative correspondence as assigned including meeting minutes and preparing informational packets 

• Schedule appointments and interviews as assigned 

• Establishes and maintains subject matter files 

• Strong written and verbal communication skills 

• Performs and embraces other duties as assigned from time to time

• Demonstrated ability to prioritize and balance competing demands and meet deadlines in a fast-paced professional environment 

• Excellent communication and interpersonal skills, and ability to communicate effectively at all levels in person, by phone, and by email

• Ability to effectively manage and prioritize multiple people and various tasks simultaneously 

• Skilled in Microsoft Office 

• Ability to anticipate situations and respond quickly and professionally 

• Very strong organizational skills and excellent attention to detail 

• Extensive file and document management experience 

• Demonstrate flexibility and initiative regarding assignments for self and team 

• Proven experience in handling multiple deliverables efficiently 

• Ability to provide information and respond to requests for assistance with courtesy and tact 

• Must be a team player as well as self-motivated and committed to excellence in the workplace 

• Ability to multi-task 

• Knowledge of Electronic Medical Record software 

• Possesses critical thinking skills, good communication skills, the ability to prioritize, the ability to work independently, attention to accuracy and timeliness in all work products and related work experience to develop and enhance skills 

• Must have outstanding organizational skills, attention to detail, and a sense of urgency to facilitate steady workflow and short turnaround time
