Receptionist/Adminstrative Assistant
$20-$22
Temp to Permanent - Monday thru Friday - 8am-5pm
Receptionist Responsibilities:
• Greet clients and visitors with a positive, helpful attitude.
• Assisting clients in finding their way around the office.
• Announcing clients as necessary.
• Collect Association checks as necessary and date stamp before turning into accounting.
• Assisting with a variety of administrative tasks including copying, faxing, and order supplies.
• Preparing bathrooms with supplies, make coffee and prep Davis Center for meetings.
• Answering phones in a professional manner, forward & screen phone calls as necessary.
• Assisting colleagues with administrative tasks.
• Log Sales and Rental applications, run background checks, collect application fees, email all information to Board of Directors for approvals. (Log Book has instruction for each association).
• Create and distribute bi-weekly timesheets to office and maintenance staff. Collect all timesheets by 11AM on Friday. Send all completed timesheets to Office Manager to approve before sending them to HR.
• Sorting, Date stamp and distribute mail.
• Update Maintenance sheets, Association sheets, etc.
• Add Work Orders in Senearthco, close out work orders
• Update Calendar for Clubhouse use in Senearthco
• Update Property Info Book when there are changes in Associations.
• Print and mail Broadcast letters.
• Assist with association mailings.
• Varies duties
ADMINISRATIVE ASSISANT
Duties to include assisting the community association manager with:
- maintenance requests
- sale and lease application processing
- ARC request processing
- correspondence
- Answering and responding to calls from owners
- Assisting with annual meeting preparation
