Administrative Specialist I
Location: Sarasota, FL
Pay: $20/HR
Schedule: Full-time, Monday–Friday 7:30AM - 4PM
About the Role:
We are hiring an Administrative Specialist to support finance and purchasing operations. This role involves processing purchase requisitions, monitoring vendor documentation, and supporting procurement procedures in a fast-paced government setting.
Key Responsibilities:

Initiate and process new and revised purchase requisitions in compliance with County procurement procedures

Ensure vendor insurance is current and uploaded with the requisition as needed

Maintain a tracking log for purchase requisitions and documentation through PO receipt

Understand and apply term contracts, division protocols, and TCAF requirements

Monitor purchase orders and maintain adequate account balances

Prepare and process change orders independently or at management’s request

Document final payments and initiate PO closures as needed

Use systems like Central Square FE, OnBase, and Clerk OnBase to track requisitions, change orders, and invoices

Generate reports and queries to reconcile purchase orders, payments, and invoices

Exercise independent decision-making and problem-solving in daily tasks
Education and Experience:

High school diploma or equivalent required

2 to 5 years of clerical, secretarial, and computer-based administrative experience

College coursework in business from an accredited college or university is preferred
