We are looking for a Part-Time Administrative Assistant for a well-established resort on Hilton Head Island, in the Facilities Maintenance department.

Job duties include: Assists with the maintenance and control supply inventory, processes work orders and other reports, and maintains a relationship with owners, vendors, guests and co-workers.

Days and hours of work are Monday, Tuesday, Thursday, Friday from 8:00 AM to 1:00 PM and Saturday 8:00 a.m. to 3 p.m.

 

Essential Functions

Primary Duties

  • Responsible for scheduling and ensuring work orders are opened, assigned to employees, correctly completed and closed.

  • Responsible for timely submission of closed work orders to accounting.

 

Secondary Duties

 

  • Answer all phone calls and direct as needed.

  • Assists with the verification of vendor invoices and process purchase orders in accordance with policy.

  • Respond to guest questions and resolve.

  • Serves as back-up for Office Administrator in absence.

  • All other duties as assigned.

Work Environment

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

 

Physical Demands

This is largely a sedentary role; however, some filing is required. This would require the ability to lift files, open filing cabinets and bend or stand as necessary.

 

Required Education and Experience

  • High school diploma.

  • One year of administrative experience.

 

Preferred Education and Experience

  • Associate degree.

  • Two years of related experience.
