Immediate opportunity for a skilled administrative assistant to support the office of a major construction company in Prince George’s County. The Senior Administrative Assistant will be responsible to performs a broad range of administrative duties for the Contracts & Procurement Team and DB Project Manager.

 

Responsibilities:

  • Prepares “first draft” of correspondence for contracts team and DB Project Manager

  • Establishes and maintains department files

  • Maintains a high-level of awareness of activities to proactively anticipate needs

  • Prepares special reports and summaries

  • Obtains certified payroll from all subcontractors

  • Update contract list for contracts, HR, and construction

  • File electronic documents

  • Make calls from pre and post bidders list

  • Attend pre-opt meetings as certified payroll rep as needed

  • Collect, review, maintain, and forward certified payroll reports from subcontractors and their tiers

  • Update Master Bidder List for contract and procurement

  • Email bi-monthly subcontractor reminder and track updates in contact list

  • Enter new contracts, Invoices, and Contract Mod into SRM

  • Enter vendor invoices into SRM

 

Requirements

  • Proficiency with computer skills (e.g., Microsoft Word, Excel, PowerPoint, and Lotus Notes)

  • Strong interpersonal and communication skills, both written and verbal

  • Superior organizational skills, team player

  • Demonstrated experience as a senior-level assistant

  • Excellent customer service and telephone skills

  • Ability to be professional and courteous with difficult caller’s

  • Good judgment, superior follow-up and attention to detail

  • Demonstrated ability to multitask and prioritize workload
