Job Title: Construction Project Administrator
Location: Incline Village, NV
Pay: $32/hour
Schedule: Monday – Friday, 8:00 AM – 5:00 PM, occasional Saturdays
Type: Full-Time | Temp-to-Hire

Job Description:
We are seeking a highly organized and experienced Construction Project Administrator to support project management, financial tracking, and subcontractor coordination for active construction projects in Incline Village. A strong construction background is essential.


Key Responsibilities:

1. Project Administration

  • Process and track submittals; follow up with subcontractors for required documents

  • Manage formal correspondence with subcontractors

  • Create and manage subcontracts and project binders

  • Update project schedules and documentation in BuilderTrend

  • Maintain BuilderTrend with all permits, plans, and incoming documents

2. Financial Management

  • Request purchase orders; process and code invoices for payment

  • Verify invoice accuracy and dispute discrepancies as needed

  • Review and submit pay estimates

  • Track change orders approved by Project Manager and CEO

  • Maintain logs for material purchases and services in alignment with project specs

3. Project Support

  • Assist Project Managers with bids and purchasing materials, subcontractor coordination

  • Coordinate project meetings and assist with budgeting

  • Support timely procurement and delivery of materials

  • Maintain and update specification files with purchase order info and documentation

4. Vendor & Subcontractor Coordination

  • Work with Accounting to establish new vendors or subcontractors

  • Maintain regular communication with subcontractors for timely document submission

5. Office & Site Operations

  • Order supplies for job office and site needs

  • Assist Safety Department with PPE inventory on-site

  • Procure project-specific materials as needed

6. General Administrative Support

  • Maintain comprehensive and organized job site binders

  • Support general office duties to ensure smooth daily operations


Qualifications:

  • Strong background in construction and project administration

  • Experience with BuilderTrend or similar project management software

  • Excellent organizational and communication skills

  • Ability to manage multiple priorities with attention to detail

  • Comfortable working both in the office and visiting job sites as needed
