Office Manager

 

Our local client, a well respected medical practice is seeking an Office Manager who will oversee the daily operations of their medical office, ensuring efficient workflow and high-quality patient care. This role involves managing administrative staff, coordinating office activities, and ensuring compliance with healthcare regulations.

 

 

  • Fill the monthly schedule with as many of the 44 FNA’s, as well as additional support appointments as possible through direct patient contact:

    • Phone calls

    • Letters

    • Emails

    • Community outreach, Infina, and Primary care physician referrals

  • Answer all in-bound phone calls and assist with new customer consultations

  • Assertively verify insurance benefits for hearing aids/devices and associated services

  • File, in a timely and accurate manner, all Medicare and Health Insurance claims

  • Complete and re-file, as necessary, denied claims and payments

  • Successfully work through each HAE to completion, by delivering on promises and keep commitments from patients

  • Maintain and continually develop skills to:

    • Communicate with patients and customers

    • Understand and implement best accounting, collections, and billing processes

    • Track financial KPI’s for the office to include:

      • Billed services

      • Billed devices

      • Collections

      • Profitability

      • Lost opportunity and After Action Report

      • Marketing Expense and ROI

  • Work well with other staff and support overall goals/efforts, as a member of the team

  • Meet or exceed device unit goals, as planned out by the schedule. (FTE- 44 HAE/FNAs per month)

  • Order and maintain demo, stock and patient hearing aid orders, as needed for the office

  • Track #s- HAEs, 3rd party, closure rate, etc. and seek help/guidance when needed for improvement. Submit (with Office Manager assistance) daily closing report

  • Maintain and improve the facilities and processes of a functional and operational clinic.

    • Cleanliness of the building

    • Maintenance of signs, refreshments and furniture

    • Request resources and assets as needed to support the initiative from the Business Director

  • KNOW, intimately, the unbundled pricing strategy and ICD-10 codes associated with proper Medicare and major health insurance billing
