Job Title: Administrative and Program Support

Pay Rate: $15-$18 Based on Experience

Administrative Duties and Responsibilities:

  • Assist with general administration and coordination of program operations.

  • Track and monitor volunteer data such as hours, mileage, activities, etc.

  • Communicate effectively with staff, volunteers, clients, and partner organizations via telephone, email, mail, newsletter, and in person.

  • Prepare correspondence, proofread documents; update and mail forms and materials, and assist with meeting and training preparation.

  • Develop and maintain organized e-filing system.

  • Support with copying, faxing, collating, scanning, ordering, shredding, and mailing

  • Other duties as needed


General Program Support:

  • Develop strategies and tools to research and map current resources

  • Assist with data entry and maintenance

  • Develop tools for tracking and reporting

  • Provide website updates and maintenance

  • Participate in meetings, conferences, partnership initiatives, committees, and other forums, as needed




Minimum Requirements:

  • Possesses a College Degree

  • Able to work Monday through Friday, 7:45AM – 4:30PM

  • Has effective communication skills, both written and verbal

  • Proficient in typing and computer skills

  • Must be proficient in typing, data entry, and have experience using computer software programs such as Microsoft Word, Excel, PowerPoint, Outlook Mail, Outlook Calendar, and internet browsers.

  • Must be competent with all basic office machines such as computer, printer, copier, scanner, fax, postage machine, telephone, and other office equipment.

  • Able to work in a fast-paced office, organized, able to multitask and prioritize

  • Is reliable and dependable

  • Must have professional phone etiquette and customer service skills

  • Enjoys working with senior volunteers

  • Organized and detail-oriented

  • Able to plan and coordinate schedules effectively

  • Must be familiar with the set up and use of laptops, conference phones, wi-fi hotspots and other web conferencing equipment, as needed.


Preferred Skills & Knowledge

  • Public speaking for group presentations

  • Proficient with social media and marketing

  • Gerontology or working directly with the senior population

  • Volunteer program management experience and best practices

  • Building partnerships with community organizations

  • Coordinating public awareness

  • Program planning, implementation, and evaluation

  • Familiar with Medicare or health plan insurance industry

  • Research and data analysis experience
