Description:

  • Provide administrative and clerical support to the Representative Payee (Rep Payee) program

  • Establish and maintain efficient methods of office management and ensure the highest level of service to all Rep Payee consumers, consistent to the overall purpose of the company and the Social Security Administration

  • Comply with company code of ethics, confidentiality practices, HIPAA, Safety and all other policies and procedures

  • Greet and announce visitors to include; answering of incoming phone lines, monitoring of visitors and reports any unusual guests or situations, in a timely manner

  • Ensure that all visitors sign in and out and are met at the reception area

  • Receive and screen incoming telephone calls, routing message(s) to appropriate point of contacts

  • Provide routine information and directs callers and visitors to the appropriate source

  • Perform basic administrative duties to include but not limited to; making copies, faxing documents to various agencies, shredding, receiving daily mail and processing outgoing mail.

  • Maintain clinical and organizational filing systems, client documentation(s) report(s) and memos

  • Sorts, organize and file client chart in a timely manner and with accuracy

  • Provide efficient and effective data entry as required to also include calculations of consumer receipts for reconciliation and auditing purposes

  • Compose correspondence, upon request from Rep Payee staff.

  • Obtain required documents for the Rep Payee program for client charts to meet QM chart reviews, or other duties as assigned.

  • Assist the Representative Payee Supervisor and Rep Payee staff with reporting changes to Social Security Administration, or other duties as assigned

  • Provide appropriate client information to various agencies in accordance with confidentiality laws and practices

  • Assist in the collection of programs specific outcomes criteria as requested by the Representative Payee Supervisor, including but not limited to; RP Monthly Budgets, RP Managing Your Money, RP Weekly Expense, RP Individual Saving Goals, RP Change of Events, and changes in status related to SSA/SSI., and other duties as assigned

  • Provide the linkage among the DIVISION client, CBCM, Ohana (CCS), CMHC, VA, POS providers, and the Social Security Administration

  • Assist the Representative Payee Supervisor with Rep Payee referrals from CM agencies, calling and faxing documents as needed

  • Provide reports to Representative Payee Supervisor, as requested

  • Establish and maintain cooperative and productive work relationships

  • Assume additional related responsibilities as assigned by the Representative Payee Supervisor

 

Requirements:

  • High School Diploma or equivalent; Associate Degree preferred

  • 1 to 1-½ years of customer service and/or administrative experience.

  • Experience working in the human services field with diverse populations, preferred

  • Must be comfortable working with customers from all socioeconomic backgrounds

  • Must be able to communicate effectively both orally and in writing in the English language; giving instructions or directions to others and seeking information from a variety of sources.

  • Working knowledge of Windows computer programs including database programs such as Excel

  • Ability to type 50 wpm and ability to use 10-key by touch

  • Ability to work under pressure and with a variety of people

  • Valid Driver’s license and willingness to use properly insured personal vehicle

  • TB clearance

  • First Aid/CPR/CPI certified

  • Clean traffic abstract

  • Professional in demeanor and speech
