Job Title: Executive Administrative Assistant

Description:

  • Provide comprehensive administrative support to the Executive Office; organizes work, sets priorities, and determines resource requirements

  • Have a thorough understanding of the business flow, company/corporate structure, and corporate needs

  • Protect and handle with discretion all confidential information which would impact individuals, company operations, business performance and/or value, etc.

  • Ensure that information is not shared beyond its intended audience

  • Demonstrate a high degree of professionalism, initiative, and independence in supporting the Executive Office on a wide variety of complex issues and special projects

  • Perform research when needed and makes well- informed, effective, and timely decisions, use independent judgement to perceive impact and implication of actions in advance

  • Establish and maintain effective working relationships with Management Staff and Officials of the company and its employees

  • Anticipate and meet the needs of both local and national customers

  • Prepare correspondence and reports using Word, Excel, PowerPoint, and Vision

  • Collect and analyze data

  • Provide information management support and prepares and presents reports and documents as needed

  • Schedule and coordinate meetings with high-level decision makers

  • Develop presentations and participates in conferences

  • Plans, manages, and executes special events

  • Coordinate and monitor calendar management/maintenance for the Executive Office using Outlook

  • Organize domestic and international meeting and travel planning

  • Responsible for business travel arrangements and prepare thorough itineraries

  • Process expense reports and reconciles credit card expenses; manages petty cash for the Office of the President/COO

  • Administer and monitor corporate filings and maintains corporate document files (electronic and hard copy files).

  • Ensure full compliance, accuracy, organization, timeliness and relativity

  • Obtain and maintain an active Notary Public certificate and provides Notary services for corporate document processing

  • Maintain and track legal documentation

  • Conduct research and stay abreast of relevant laws and regulations relative to the Company’s business

  • Oversee Executive Office management ensuring office is properly maintained and professionally presented

  • Delegate tasks to Executive Administrative staff and follows up on outcomes

  • Provide backup support to the Corporate Reception area

  • Maintain professional and technical knowledge through workshops, literature, and networks

  • Perform other related duties as assigned or requested

 

Requirements:

  • High School Diploma, Associate or higher degree preferred

  • Minimum of three (3) years of C-level Executive Assistant experience and at least five (5) years of experience as Administrative Assistant

  • High level proficiency in the use of Microsoft Office programs: MS Word, Outlook, Excel, and PowerPoint to deliver high quality products

  • Excellent analytical skills and computer proficiency are required

  • Ability to write reports and business correspondence, must have impeccable grammar and comprehensive knowledge of business communications and protocols

  • Ability to interpret business and operational reports

  • Strong communication skills

  • Must have excellent telephone etiquette and superb interpersonal/ customer service skills

  • Must demonstrate a passion for service excellence in daily contact with employees, clients, vendors, and the general public

  • Prior paralegal or legal assistance experience is highly desired, Notary Public experience, preferred

  • Must be pro-active and possess independent sound judgment and discretion, successful candidates will demonstrate a track record of effective execution using sharp communication, intuition, and project planning expertise

  • Ability to effectively multitask in a fast-paced environment

  • Strong organizational skills are required

  • Must possess strong personal integrity and accountability

  • Must demonstrate comfort and maturity relative to handling highly sensitive and confidential information

  • Ability to work independently with little supervision

  • Professional in demeanor and speech
