Description:

  • Telephone and Counter Services: Answers public inquiries over the telephone or at the counter on matters relating to voter registration, absentee voting, elective offices up for elections, city and state government operations, etc. Assists voters who appear in person at the counter window to register to vote or request absentee ballots.

  • Application Screening: Gathers all incoming voter registration applications from various public and private agencies, including those mailed in by individual voters. Checks for completeness and sets aside those applications that are not complete for follow-up. Prepares “Notice of Voter Registration” cards for data entry to flag voters who have questionable addresses. Assists with the maintenance of the “inactive” voter file, i.e., cancellations, deceased, etc.

  • Data Entry: Enters information from various source documents such as voter registration applications, voter notification cards, notice of cancellations, notifications of deaths, follow up letters etc., to add, delete, and update voter registration records in the Statewide Voter Registration System (SVRS). Audits data in the SVRS against source documents and makes corrections when necessary. Contacts voters who have submitted incomplete or illegible forms via telephone or follow-up form letters.

  • Registration: Assists Voter Service Center (VSC) voters who need help in completing the application for a ballot or need information on voting or candidates.

  • ID Verification: Verifies identity of VSC voter through a picture ID before forwarding the application to the Terminal Operator.

  • Terminal Operator: Verifies registration of voter to see that the voter is eligible to vote at the election and from the address indicated on the VSC application. Records the appropriate district and precinct on the application to enable the Ballot Issuance and Recording clerk to issue the proper ballots.

  • Ballot Issuance and Recording: Issues the proper district and precinct ballots based on what is recorded on the VSC application. May be required to issue ballots using a ballot marking device or direct recording electronic voting machines. (training to be provided)

  • Voter Information: Explains the single party primary election system to voters who are not familiar with the requirement that only one party or nonpartisan ballot be selected for voting.

  • Voter Assistance: Assists voters who have spoiled their ballots and need new ones. Controls voter traffic. May assist voters using ballot marking devices or direct recording electronic voting machines. (training provided).

  • Absentee Data Entry and Mail: Checks each request for an absentee ballot against the Statewide Voter Registration System to see that the voter is registered to vote and at the residence address indicated on the request. Sets aside those requests that require further attention because of the need for re-registration or update and forwards them to the appropriate supervisor. Enters information from absentee requests into the absentee voter subsystem, ensuring proper addressing and delivery. Assists with the mailing/emailing of ballots and upon return of absentee ballots, may enter information into the absentee subsystem to indicate that a ballot has been returned by a particular voter. Compares signatures on the absentee request and Affirmation Statement” before forwarding all documents as appropriate.

  • Replacement Ballot Fulfillment: Checks replacement ballot requests against the Statewide Voter Registration System in order to properly issue replacement ballots. Assists with the preparation and mailing of replacement ballot packets.

  • Voted Ballot Envelope Verification: Sorts and arranges voted ballot return envelopes received via postal system or ballot drop box collections. Compares signature against the signature found in the voter’s registration record. Sets aside those that do not match or do not have any signature for follow-up.

  • Drop Box Collection. Assists in collection of voted mail ballots at various regionally located drop boxes placed throughout the county. Assists in the management and flow of individual and/or vehicular queues, ensures that boxes are locked correctly and on time, conducts minor surface cleaning of boxes (as may be deemed necessary), records information, as per procedures established by Elections Division.

  • Performs other related duties as assigned.

 

Requirements:

  • At least 6 months of customer service experience is REQUIRED.

  • Alpha-numeric data entry experience preferred.

  • Fluent in Ilocano and Chinese a plus!

  • Must be able to lift up to 40lbs.

  • Candidates must be available to work additional hours of overtime on weekends, nights and holidays as required.

  • Must be able to stand for long periods of time.

  • Must be able to work in warm conditions without air conditioning.

  • Training on specific tasks will be provided

  • Must be able to type 35 wpm with accuracy and utilize MS Office.

  • Must also be able to comprehend and follow instructions.

  • Must be able to meet deadlines as required by the job.

  • Must show proof of being fully vaccinated against COVID-19 unless a reasonable accommodation is approved. If partially vaccinated, or approved for a vaccine exemption, employees must comply by submitting weekly negative test results from an approved COVID-19 test (PCR or NAAT).
