Position Summary:

This position will assist the Medicare Sales team and Call Center with administrative tasks such as workshop and hotline (urgent issue resolution) phone calls and emails, tracking of events and sales activity, event preparation, simple data entry and reporting, sales packet collation and other administrative tasks as needed.

 

Description:

  • Marketing document preparation and review: Supports the AMS Senior Plans/Medicare Sales and Call Center sales teams by assisting with the preparation, review and quality assurance reviews of written materials needed for HMSA Medicare Advantage member materials. (EGWP, Senior Connection, D-SNP & MAPD materials) used by our sales teams. Under the supervision of experienced staff, verifies materials, matrices, brochures and tables in materials for accuracy.

  • Issue documentation: Assists with timely responses to broker hotline (urgent issue resolution) calls and e-mail inquiries, answering questions and documenting follow up in Salesforce. Providing critical support to the Broker Agency and their staff as well as all sales staff for DSNP eligibility verification. Communicates directly with broker agent management staff on a daily basis. Assists Senior Plans Analyst with broker on boarding, training, licensing and terminations.

  • Workshop operations: Supports Medicare Sales staff with the organization’s Medicare Advantage Sales Workshops. Assists with logistical tasks, such as set-up, signage, stocking workshop inventory, clean up, updates to attendance documents, tracking logs and attendee surveys.

  • Workshop follow up and reporting: Staffs and tracks the Workshop Booking telephone line and online registration emails, interacts directly with the public to confirm them into sales related workshops, and makes the outbound reminder calls to these prospects. Generate an AEP summary of workshop activity, attendance, measurement and enrollments.

  • Workflow document editing: Assists with edits to existing policies and procedures manuals, documenting workflows related to existing lines of business.

  • Enrollment follow up and tracking: Supports Call Center staff by generating member facing letters requesting additional enrollment related information as well as generates plan denial letters, updating information and documenting in Salesforce.

  • Physical inventory: Maintains and organizes inventory of sales collateral, promotional items, documenting utilization, initiating reorders, tracking retail value for CMS purposes.

  • Complete other duties as assigned.

 

Requirements:

  • Typing Score of 45+ WPM required.

  • Experience in MS Word, Excel, and Outlook required.

  • Experience in data entry and phone servicing preferred.

  • Proficient with PC and Microsoft Office.

  • Effective verbal and written communication skills.

  • Ability to multi-task and work with minimal supervision.

  • Ability to learn new tasks quickly and retain information.

  • Must be self-directed and work well under tight deadlines.

  • Demonstrate initiative and handle tasks without constant supervision.

  • Able to lift and transport up to 15 lbs.
