They specializes in providing support services to several organizations and government agencies in the areas of information technology (IT) and network management; software development, web and other content management; document management, business process improvement; and content digitization; program management; and administrative and professional support services.

 

Position Summary:

The purpose of this job is to manage day to day operations of the scanning center including all offsite locations/projects.

 

Description:

The job duties and responsibilities include, but are not limited to the following:

  • Manage and monitor the daily operations of PSHI’s Scanning Center and provides oversight of scanning personnel to ensure that projects are completed in a timely and accurate manner.

  • Supervises the day-to-day operation of PSHI’s Scanning Center and directs the work of personnel to efficiently complete projects.

  • Manage offsite scanning center with a lead at each location.

  • If required, works directly with staffing agencies to fulfill staffing requirements; and is responsible for reviewing and approval of accurate personnel timesheets, and approving agency invoices.

  • Maintain contacts with customer and outside vendors.

  • Respond to all customer communications.

  • Create and update procedures where needed.

  • Perform employee evaluations.

  • Functions as a scanning specialist or other operational role in scanning operations.

  • Scanning Center Manager will need to be able to train all personnel on the following:

    • Document Preparation. All documents must be prepared prior to scanning, and preparation may include removing binders, files, paperclips, staple removal, orientation, removing sticky notes when they cover relevant text and images, straightening bends/creases, and repair of torn pages, etc.

    • Document Scanning. Large volume document scanning will be performed using one or more PC workstation with attached scanner(s) using production scanning software.

    • Quality Control. All images should be reviewed to ensure images are readable, oriented properly, and that all images in each batch have been scanned using double feed detection technology.

    • Indexing. Data entry of established index values for images.

    • Confidentiality. All client and organization information is protected and kept confidential.

    • Maintenance. Perform preventative maintenance, including checking and cleaning workstations and scanners, as needed.

  • Present at meetings to provide updates of the project, create and distribute monthly status report to both company management and reports for customer contract requirements.

  • Other duties, as assigned or required by the client.

 

Requirements:

  • Bachelor’s Degree in a related field is desired; extensive work experience may be substituted for the Bachelor’s degree

  • 5 years of experience directly in production scanning and management experience

  • Operations/Production experience required.

  • Must be a U.S. Citizen

  • Ability to articulate records management processes and procedures

  • Proficiency in MS Office suite, MS SharePoint, and electronic document management/tracking software and systems

  • Experience managing projects with specific results and deadlines

  • Outstanding oral and written communication skills and analytic and problem-solving abilities

  • Knowledge of current records management trends desirable.

  • Ability to learn quickly and take charge confidently

  • Ability to work within a team to meet established project goals

  • Ability to communicate professionally, concisely, and effectively, both verbally and in writing

  • Must be able to lift a 40-pound box and able to stand on your feet most of the day of needed.
