Position Summary:

Provides direct administrative support to the Customer Service-Energy Delivery Partnership Consulting Services Initiative under the management of the Customer Service Improvement Manager. This includes activities related to scheduling and logistical set up of meetings, taking minutes, transcribing, analyze/synthesize data and information, preparing presentations, preparing documents/correspondence, using collaborative virtual tools (i.e. Mural), and other administrative tasks as assigned.

 

Description:

1. Faculty Agreements & Processing (40%)

  • Manages the Banner processing of full-time and part-time Faculty new hire paperwork after the transition from recruitment onboarding.

  • Collaborates with partnering departments such as: college administrative assistants, IT, and payroll to ensure faculty begin their contracts and are compensated on-time.

  • Updates Banner HR and the HR Service Center Log to ensure accurate and timely processing of Faculty contracts, updates, status changes, and any necessary follow-up.

  • Manages the Banner Faculty Load and Compensation (FLAC) process every pay period for adjunct faculty and full-time overload course agreements and ensures proper payment to faculty/staff.

  • Coordinates with the Office of Academic Affairs and the Faculty Actions HR Business Partner, and the hiring college on contracts, renewal, or personnel change forms.

  • Conducts FLAC training sessions for college administrative assistants to ensure accurate faculty agreement processing.

  • Conducts FLAC training with new-hire onboarding of full-time and part-time faculty.

  • Assists and trouble-shoots FLAC related issues for college administrative assistants, faculty/staff, and escalates issues to HRIS Manager when necessary.

2. Employment (40%)

  • Updates Banner HR and the HR Service Center Log to ensure the accurate and timely processing of all Staff status changes, updates, transfers, promotions, and any necessary follow-up.

  • Manages the accurate and timely processing of all Staff and Faculty Terminations to include ensuring updates to HR Separation Tracker, receipt on Notice of Separation or EPAF, resignation letter (if applicable), and monitoring the termination of Transition Advisor positions.

  • Collaborates with colleges and respective administrative assistants in annual “clean-up” of Adjunct employees.

  • Manages the active job status of temporary employees and initiates termination process as applicable with supervisors.

3. Professional Development & Analytics (10%)

  • Attends at least 2 SHRM workshops and/or CUPA webinars to keep updated with changing HR trends, rules, and regulations.

  • Serves in a system administrator capacity for Cornerstone OnDemand (Mana‘o). Assists employees with general questions, troubleshooting, and makes system/employee updates as needed.

  • Assists HRIS Manager in the maintenance of Banner data integrity for AAP tracking and IPEDS reporting.

  • Develops Report Building knowledge with Banner data and IBM Cognos.

4. Performs other related duties as assigned (10%)

  • Actively participates as an effective member of team by assisting with front desk coverage, accepting additional assignments or reassignments.

  • Assists with seasonal peaks as applicable for HR and/or Benefits.

 

Requirements:

Minimum Qualifications:

  • Bachelor's degree in business, human resources or related field – OR equivalent work experience

  • One year experience processing personnel actions and maintaining employee records in an HR Information System

  • Intermediate proficiency of MS Excel, Word, Outlook, PowerPoint and HR Information Systems

Desired Qualifications:

  • Bachelor’s degree, in Business Administration, Human Resources Management, or related field

  • Three years' work experience in human resources

  • Three years’ experience processing personnel actions and maintaining employee records in an HR Information System

  • One year of payroll or compensation administration

  • Experience working in higher education, specifically with faculty and adjunct work agreements

  • Familiarity with staffing, training, benefits

  • In depth knowledge of I-9 compliance

  • Excellent written and oral communication skills

  • Banner HR experience

  • Experience with applicant tracking system (ATS)

  • Candidates must be legally authorized to work in the United States. Visa sponsorship and relocation allowance is not available for this position.

  • Report to work obligations to support the department and may require work during HPU’s winter break, if necessary.

  • Must meet training and background check qualifications and comply with the Protection of Minors policy.

  • Upon hire, candidate must have reliable personal transportation to facilitate travel between to all HPU worksites and other locations as required by the position. This includes a valid driver’s license and a personal vehicle that is legally registered and insured.

  • Able to work all shifts and extended hours.

  • Successful candidate will be able to work in an environment that utilize excellent time and stress management skills
