This organization is headquartered on Oahu, with main office in Downtown Honolulu. They pride themselves in assisting local families in navigating the intricacies of yearly tax preparation.

 

Position Summary:

This position will support the lead tax preparer and other CPA’s with administrative tasks such as responding to phone calls and emails, filing, faxing documents, and other administrative tasks related to a small office environment as needed. Performs highly complex clerical work and/or participates in performing complex clerical work; may perform skilled typing and/or keyboarding work as needed.

 

Description:

 

  • Answering the phone at a reception desk or in a specific department and transferring calls as needed

  • Sorting and delivering incoming mail and collecting and sending outgoing mail

  • Create documents, maintaining databases and sending memos and emails

  • Running errands and making deliveries around the office or to external parties

  • Collecting, filing and organizing office documents, such as reports and confidential records

  • Managing digital document filing, including encrypted documents and email correspondence

  • Monitoring office inventory and ordering supplies

  • Transcribing or taking notes during meetings and writing minutes, memos and/or agendas

  • Preparing or processing invoices or estimates

  • Packaging and shipping company materials

 

Requirements:

  • Typing Score of 40+ WPM required.

  • Experience in MS Word, Excel, and Outlook required.

  • Experience in data entry and phone servicing preferred.

  • Proficient with PC and Microsoft Office.

  • Effective verbal and written communication skills.

  • Ability to multi-task and work with minimal supervision.

  • Ability to learn new tasks quickly and retain information.

  • Must be self-directed and work well under tight deadlines.

  • Demonstrate initiative and handle tasks without constant supervision.

  • Able to lift and transport up to 15 lbs.
