Description:  This local Hawaii company was started by its founder in 1971. Since then it has grown into one of the island's most respected roofing and painting companies. As a sign of its steady growth, this company is in search of a highly organized and detail-oriented Administrative Assistant to join its growing team. This role is responsible for a variety of administrative tasks including customer service, proposal processing, data entry, and general office support. The ideal candidate will be a team player with excellent communication and interpersonal skills.

Responsibilities:

  • Customer Service:

    • Answer phones within 1-2 rings and greet customers in a friendly and professional manner.

    • Prioritize and respond to customer emails and messages promptly.

    • Assist with processing signed proposals and ensure customer satisfaction.

  • Proposal Processing:

    • Type proposals from roofers and subcontractors accurately and efficiently.

    • Save all proposals, notes, and related documents in the designated server location.

    • Follow up with subcontractors regarding proposals and pricing.

    • Confirm receipt of proposals with customers via phone call.

  • Data Entry and Record Keeping:

    • Log estimates taken by yourself and others (including updates, cancellations, etc.) into the online system on Mondays.

    • Add subcontractors as guest users to all estimates sent by yourself and others.

    • Print and save all pricing information from suppliers for estimators.

    • Process mail received through mail, email, and fax.

    • Create and maintain job files and folders.

  • General Office Support:

    • Assist colleagues with various administrative tasks.

    • Send invoices and follow up with subcontractors.

    • Send and save photos as needed.

    • Replenish promotional bags when needed.

    • Organize and clean your desk before leaving for the day

    • Handling of all office duties as necessary to ensure smooth business operations.

Qualifications:

  • Minimum 1 year of administrative experience.

  • Excellent written and verbal communication skills.

  • Strong organizational skills and ability to prioritize tasks.

  • Proficient in Microsoft Office Suite (Word, Excel, Outlook).

  • Ability to work independently and as part of a team.

  • Positive and customer-service oriented attitude.

  • Detail-oriented and accurate with data entry.

  • Ability to follow instructions and meet deadlines.
