Executive Administrative Assistant

Pay Rate/Range:  $14/hr


Start Date:  Immediately


Essential Requirements:

               Minimum 2 years’ experience in an administrative assistant role required.

               High interpersonal skills including demonstrated ability to relate with others in the execution of duties and the ability to communicate effectively.

               Excellent organizational, verbal and written communication skills.

               Very customer service oriented.

               Ability to handle multiple priorities and meet deadlines.

               Knowledge of accounting and procurement practices and procedures.

               Team player, self-starter and self-directing.

               Completes task assignments in a timely manner.

               Ability to coordinate and schedule appointments, conference rooms, conference room setups, catering, handout materials, and audio-visual requirements.

               Distributes minutes and agendas to appropriate personnel in a timely manner.

               Maintains files and minute books for Executive Committee, Board of Trustees, and general Membership meetings.

               Performs routine accounting tasks and other duties as required.

               Processes invoices for payment.

               Assists billing in the setup and processing of contractual accounts receivable.

               Maintains correspondence, contracts, contractual and misc A/R files for the administrative office.

               Maintains phone book listings and organizational charts.

               Designs brochures and other materials regarding programs and services.

               Prepare contracts, maintains contract files of related correspondence and fully executive contracts, maintains the database of contracts. Circulates contracts for signature and follows up as needed.

               Tracks all keys to departmental employees for occupied space within the company.


Computer Skills and Abilities:

               3 years’ experience with advanced MS Office Suite (Word, Excel, PowerPoint, database), Windows and Adobe



Bachelor’s degree preferred with 2-4 years’ related experience.



Attire:  Business Casual


Duration:  Temp-to-hire


Shift:  8a-5p


Schedule:  Monday - Friday
