Bi-Lingual Customer Service and Administrative Coordinator

Location: Eagan, MN
Hours: Monday – Friday, 8:00 AM – 5:00 PM
Compensation: $18.00 – $20.00 per hour (based on experience)

About the Role

Are you an organized, people-oriented individual with strong customer service skills and a desire to make a difference? We are seeking a full-time Customer Service and Administrative Coordinator to join our team in Eagan, MN. This position plays a critical role in supporting our staffing branch operations, ensuring exceptional customer service, applicant engagement, and efficient administrative processes.

You’ll be the first point of contact for our applicants and clients, and a key support system for our recruiting and sales team. This is a fast-paced, dynamic position ideal for someone with a passion for helping others, attention to detail, and a “can-do” attitude.

Key Responsibilities

Customer Service & Front Office Support

  • Provide outstanding in-person, phone, and email service to applicants, clients, and employees.
  • Greet and assist walk-in applicants, ensuring timely processing of applications and interviews.
  • Manage front desk reception, phones, and office communication with professionalism and efficiency.
  • Maintain an organized, friendly, and welcoming office environment.

Administrative & Clerical Duties

  • Process applications, data entry, filing, and managing applicant records.
  • Schedule and support interviews and employee onboarding tasks.
  • Maintain up-to-date branch files and documentation.
  • Coordinate mail handling, supply management, and office cleanliness.

Applicant Recruiting & Retention

  • Applicant sourcing, calling resumes, scheduling interviews, and screening candidates.
  • Conduct reference checks and employee engagement calls.
  • Engage in creative recruiting efforts through referrals, outreach, and database reactivation.
  • Maintain a pool of available applicants to meet job order demand.

Sales & Client Support

  • Support local client needs through quality customer service and communication.
  • Assist in reading and acting on sales reports, pay/bill reviews, and client updates.
  • Contribute to client retention and relationship-building efforts (e.g., sending cards, sharing news).
  • Collaborate with nearby branches to meet client expectations.

Compliance & Record-Keeping

  • Ensure all applicant documentation, I-9s, and W-4s are accurate and complete.
  • Follow employment law, corporate policies, and industry regulations.
  • Maintain e-Verify compliance and assist with workers’ compensation/unemployment claims.
  • Log all conversations and updates into the applicant tracking system.

Qualifications & Requirements

  • High School Diploma or equivalent required.
  • Minimum typing speed of 40 wpm.
  • Computer literacy and ability to quickly learn new systems.
  • 1–2 years of experience in sales, marketing, secretarial, or customer service roles.
  • At least 2 years of general business experience.
  • Excellent verbal and written communication skills.
  • Strong organizational skills and attention to detail.
  • Dependable with a professional and positive attitude.
  • Must have a valid driver’s license, reliable transportation, and maintain required auto insurance coverage
